How Route Agency Limited collects and looks after personal data submitted through this website, and the rights you have under UK data protection law.
Who we are
This site is operated by Route Agency Limited ("Route", "we", "us"), an independent media planning and buying agency. We are registered in England and Wales under company number 09722237. Our registered office is 10 Temple Back, Redcliffe, Bristol BS1 6FL, and our trading address is Generator Studios, Trafalgar Street, Newcastle upon Tyne NE1 2LA. What we collect through this site
The personal data we collect through this site is what you send us using one of our two forms. The enquiry form asks for your first and last name, your organisation, your work email address, your phone number if you choose to give it, what you need from us and your message. The newsletter sign-up asks only for your email address. Careers applications come to us by email, with your CV and a short note about yourself. When you send one of our forms, we also use the IP address of the device you send it from, to filter out spam. Like most websites, the server that hosts this site also keeps technical logs, such as IP addresses and the pages requested, to keep the site running and secure. We do not collect special-category data through this site, and we ask you not to include it in a form.
How we use it
We use enquiry details to reply to you and to follow up your enquiry. We use your newsletter email address only to send you Route insights and invitations to our events. We use careers applications only to consider you for roles at Route. We use the IP address that comes with a form only to filter out spam and automated submissions.
Why we are allowed to use it
For enquiries we rely on our legitimate interests in replying to a business enquiry you have chosen to send us and in following it up, which is a normal part of how we work. You can object at any time by emailing info.route@route.agency. For the newsletter we rely on your consent, which you give by ticking the box on the form. For careers applications we rely on your consent, which you give by sending us your application. You can withdraw it at any time by emailing us, and every newsletter email includes a link to unsubscribe. Withdrawing consent does not affect anything we did before you withdrew it. For the server's technical logs, and for the IP address we use to filter spam from our forms, we rely on our legitimate interest in keeping the site and our forms secure. If your enquiry leads to us working together, we will tell you separately how we handle personal data as part of that work.
Who handles it for us
Enquiries and newsletter sign-ups pass through our website, which does not keep them, to HubSpot, the customer relationship management system we use to manage our contacts and send our newsletter. Your IP address goes to HubSpot with them, so that HubSpot can check the submission for spam. HubSpot stores this data in its European Union data centre. Careers applications do not go to HubSpot or through this website. You email them to our team, and we keep them in our own Microsoft 365 mailbox. HubSpot and Microsoft act as our processors under data processing agreements, so they handle your details only on our instructions. Where a provider processes data outside the UK, the transfer is protected by the safeguards UK data protection law requires.
Sharing and selling
We do not sell your personal data, and we do not share it for anyone else's marketing. Beyond the providers named above, we share it only with service providers who help us run our business, such as our website host and IT providers, and only so they can provide those services to us under appropriate contracts, or where the law requires us to.
How long we keep it
We keep enquiry details for at least 12 months and for up to five years after we were last in touch, because business buying decisions can take several years. We review them regularly and delete them sooner if there is no longer a realistic prospect of working together, or if you ask us to. We keep your newsletter email address until you unsubscribe. After that we keep only a record that you unsubscribed, so that we do not email you again. We keep careers applications for six months, unless you ask us to delete yours sooner. We keep IP addresses used for spam filtering only for a short period and then delete them. Our website keeps a scrambled version for up to one hour, to stop the same address sending forms again and again, and HubSpot keeps the IP address that comes with a submission for 30 days. HubSpot also uses it to estimate the country and town a form was sent from, and keeps that estimate with your details.
Your rights
Under UK data protection law you have rights over your personal data. They include the right to access it, to have inaccurate data corrected, to have data erased in certain circumstances, to restrict or object to how we use it and to data portability where it applies. Where we rely on your consent, you can withdraw it at any time. To exercise any of these rights, email info.route@route.agency.

Complaints
We would always prefer to put things right ourselves, so please contact us first. You also have the right to complain to the Information Commissioner's Office (ICO), the UK supervisory authority for data protection, at ico.org.uk.
